1. Agreement, eligibility and authority
RoamID is the registered business name used by Nicholas C. Gleeson (ABN 78 486 967 639) as the Founding sole-trader operator. In this document, “RoamID”, “we”, “us” and “our” mean that operator of the RoamID service available at roamid.app.
By creating or using an account, managing a profile or activating a tag, you agree to these Terms and the Privacy Policy. Merely viewing a public Emergency Profile does not make a responder an account customer or require agreement before emergency information is displayed.
RoamID account users and controllers must be aged 18 years or older and have legal capacity to agree. An Emergency Profile may represent an adult or a minor. A minor’s profile must be created and managed by an authorised adult account controller, but RoamID does not independently verify guardianship or other legal authority. A relationship label is descriptive only and does not establish authority.
RoamID stores year of birth rather than a full date of birth. For a person who turns 18 in the current calendar year, an authorised adult controller may need to confirm that the actual birthday has occurred. Managed adult and minor profiles require the applicable authority and publication acknowledgement for the represented person’s current age state. These product attestations are not independent verification of identity, signature, age, consent, guardianship or capacity.
2. What RoamID provides
RoamID connects a physical NFC and QR tag to customer-maintained emergency information and ICE contacts. When a tag is operational and active, a person can tap or scan it and open the assigned Emergency Profile in a normal compatible browser without an app or responder login.
RoamID provides tools for authorised people to maintain profiles and tags. The service may also calculate setup readiness or verification freshness. Those product indicators show whether required fields and customer confirmation are present; they are not a clinical review, safety certification or promise that the information is correct.
The Founding Release may be supplied for testing without a fee. Any later price, physical supply, delivery, refund, renewal or subscription terms must be stated separately before they apply. Nothing in separate supply terms may remove rights that cannot lawfully be excluded.
3. Public Emergency Profiles
Emergency Profile information associated with an operational ACTIVE tag is intentionally public to anyone possessing the tag’s NFC or QR URL. The URL is permanent and may be copied, photographed, forwarded or otherwise obtained. Its opaque random form reduces easy guessing; it is not a password, authentication or a promise that only responders can view the profile.
Depending on the profile’s content and settings, public information may include names, year of birth, blood type, conditions, medications, allergies and notes, emergency instructions, ICE contact names, relationships and telephone numbers, disclosure choices, and last-verification information.
Unknown, unassigned, PENDING, disabled, lost, replaced, retired, unavailable or invalidly contained tags, and tags controlled by an account in the closure grace period, do not disclose customer Emergency Profile information under the current service rules. Non-disclosure after a lifecycle change cannot erase copies already made by another person while the profile was available.
Do not activate a tag or include information unless the authorised adult controller has an appropriate basis to manage and publish it under this public model. Enter only what is relevant and appropriate for emergency access.
4. Your responsibilities
You must:
- provide information lawfully, fairly and within your actual authority;
- keep profile, medical, ICE and contact information accurate, current, clear and limited to emergency-relevant content;
- review information regularly and use the separate customer-verification action when you have checked that it is current;
- understand that your verification is your confirmation, not independent verification by RoamID;
- obtain an appropriate basis to provide and publicly display an ICE contact’s name, relationship and telephone number, explain the public tag model to them, and update or remove their details when needed;
- protect your account access and activation or claim credentials, and notify RoamID promptly if you suspect misuse;
- keep physical tags and their public URLs in the custody appropriate for the information published through them;
- disable or mark a tag lost promptly when appropriate, and understand that sharing the URL may allow access even without the physical tag; and
- regularly test the NFC and QR functions and confirm the correct profile appears before relying on a tag.
Do not enter passwords, financial information, identity-document numbers, unrelated sensitive information or content that is misleading, unsafe, unlawful or infringes another person’s rights.
5. Emergency and medical limitations
In an emergency, call the appropriate emergency service when it is safe and possible to do so. RoamID does not contact emergency services, dispatch assistance, monitor a person or tag, or confirm that anyone has viewed a profile.
RoamID does not replace emergency services, professional medical advice, clinical records, or medical identification that a clinician or emergency organisation requires. It does not diagnose, recommend treatment, assess whether information is medically appropriate, or independently validate customer-supplied medical information.
RoamID does not use artificial intelligence to interpret, rewrite, diagnose, prioritise or generate Emergency Profile information. Visual ordering, critical flags, readiness and freshness are presentation or customer-maintenance features, not clinical triage.
Responders and other viewers exercise their own judgment. RoamID does not control who obtains a URL, whether a viewer understands or uses the information, the decisions they make, or the acts and omissions of emergency, medical, telecommunications or other third parties.
6. Tag, device and availability limitations
Access depends on matters that may be outside RoamID’s reasonable control, including the physical tag being present, correctly attached, readable and undamaged; NFC being supported and enabled; the QR code being visible and scannable; a charged compatible device; network and internet access; DNS, hosting and provider services; and a compatible browser.
NFC performance can vary with device design, tag placement, surrounding materials, wear and damage. A QR code can be obscured or damaged. You must follow supplied placement and care guidance and periodically test both access methods.
RoamID may experience faults, security events, provider outages or planned maintenance. We will take reasonable steps to operate, maintain and restore the service, but do not promise uninterrupted, error-free or universally compatible access, or a particular uptime unless a separate written commitment expressly states it.
7. Accounts, managers, Stewards and support
You are responsible for activity undertaken through your authenticated account to the extent it is within your control. Do not share authentication or claim credentials or allow another person to present themselves as you. Possession of a tag, public URL or internal identifier does not create account authority.
An account owner may grant another adult defined management authority. A delegated manager must accept the invitation and confirm they are 18 or over before becoming an account controller. A delegated manager must act only within the authority actually given. An Account Steward is not a co-owner; the role has narrow account-lifecycle and support-authorisation powers and does not create unrestricted account administration.
An account owner or current accepted Account Steward may enable exact-account, read-only administrator support for 1, 4 or 24 hours. The real administrator remains identified. Support access ends on expiry, revocation, closure or loss of administrator authority on the next protected request. It does not permit the administrator to edit Emergency Profile or ICE information, change verification, manage customer authority, or change tag lifecycle through support mode.
8. Acceptable use
You must not use RoamID to:
- create or manage a profile without authority, impersonate another person, or publish another person’s information improperly;
- publish content that is unlawful, deceptive, threatening, abusive, discriminatory, infringing, malicious, or likely to create a material safety risk;
- provide deliberately false or misleading emergency information;
- share, steal, guess, reuse or misuse account credentials, activation codes, claim credentials or protected identifiers;
- probe, enumerate, scrape or harvest tag URLs or customer information, or bypass authentication, authority, lifecycle or rate controls;
- introduce malicious code, interfere with availability or security, overload the service, or help another person do so; or
- use the service for marketing, surveillance, tracking or any purpose materially different from emergency identification and authorised account management.
Good-faith security concerns should be reported through the direct Founding Release contact path without accessing more information than reasonably necessary.
9. Suspension and account closure
RoamID may restrict or suspend an account, tag or feature where reasonably necessary to protect people, information or the service; investigate suspected unlawful or unauthorised use; respond to a security issue or legal requirement; perform maintenance; or address a material breach of these Terms. Where practicable and appropriate, RoamID will give notice and a reasonable opportunity to address the issue. Urgent action may be taken without prior notice where delay would materially increase risk.
A valid customer closure request immediately places the account into PENDING_DELETION. All responder disclosure controlled by the account stops immediately and ordinary management is suspended. The service preserves the account state for a fixed 30-day grace period so an authorised owner or Account Steward can reinstate it before the persisted deadline.
After that deadline, reinstatement is unavailable. Hard deletion removes active Emergency Profile, medical and ICE information and ordinary account/profile authority from the active application store. Physical tags are permanently retired and cannot be reused. Limited permanent tag identifiers and minimised lifecycle, credential-digest, security, audit and provenance history may remain for non-reuse and service integrity without retaining Emergency Profile or ICE content. Provider recovery or operational copies may persist for provider-dependent periods separate from active RoamID application data.
A later account using the same email is a new account and does not regain an old profile, tag, URL, manager or support relationship.
10. Your content and RoamID intellectual property
You retain whatever rights you have in information and content you provide. You give RoamID a non-exclusive, worldwide, royalty-free licence to host, copy, process, format, transmit and—when you activate a tag—publicly display that content only as reasonably needed to provide, secure, support and recover the service. The licence ends when the content is deleted from the active service, subject to the limited residual and recovery treatment described in the Privacy Policy.
You warrant only that you have the authority needed to provide the content and grant this limited licence. You remain responsible for its accuracy and lawfulness.
RoamID’s service, software, branding, site design and documentation are owned by or licensed to the operator and are protected by applicable intellectual-property laws. These Terms permit ordinary personal use of the service; they do not transfer those rights or permit copying, reverse engineering or commercial exploitation except to the extent a restriction cannot lawfully apply.
11. Responsibility, liability and consumer rights
Australian Consumer Law
Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right, remedy or liability under the Australian Consumer Law or another law that cannot lawfully be excluded, restricted or modified. Any disclaimer or limitation in these Terms applies only to the maximum extent permitted by law.
A properly bounded service
The service is supplied for the purpose described in section 2 and subject to the public, medical, physical and technical limits set out above. Those limits do not remove any obligation RoamID has to provide services with due care and skill or any other non-excludable obligation.
To the extent permitted by law, RoamID is not responsible for loss to the extent it is caused by: information you or an authorised manager supplied being inaccurate, incomplete, misleading or out of date; use outside these Terms or supplied instructions; your failure to secure an account, credential, tag or copied URL; an unauthorised act outside RoamID’s reasonable control; or a device, network, browser, responder or third-party service that RoamID does not control. This allocation applies only to the extent that the relevant act or omission actually caused or contributed to the loss.
RoamID does not exclude responsibility for its own fraud, wilful misconduct, or failure to exercise reasonable care and skill, or for death, personal injury or other liability to the extent it cannot lawfully be excluded. No term requires you to indemnify RoamID for loss caused by RoamID.
12. Changes to the Terms and ending use
RoamID may update these Terms when reasonably necessary for changes to the service, provider arrangements, security, risk or law. The effective date and version will be shown here. Material changes will be communicated through an available appropriate channel before they take effect where reasonably practicable. A change will not retrospectively remove accrued rights or create consent or authority that applicable law requires to be obtained separately.
You may stop using RoamID at any time and may use the account-closure process described in section 9. Stopping use without closing the account does not itself delete stored information or deactivate an active tag. Provisions concerning public copies, intellectual property, accrued rights, liability, dispute handling, closure and necessary residual records continue to the extent their nature requires.
13. General terms and contact
If part of these Terms is unlawful or unenforceable, it is to be read down to the extent possible and otherwise severed, without affecting the remaining terms. A delay in exercising a right is not a waiver. These Terms and any incorporated documents govern the current service, subject to any separate physical-supply terms disclosed to you and any rights that cannot lawfully be excluded.
These Terms are governed by the laws of New South Wales, Australia and applicable Commonwealth laws. The courts and tribunals of that jurisdiction may hear disputes, subject to any non-excludable right to bring a claim in another available forum.
